How to Number Your Quotations: A Simple System

Without numbers, "the quotation I sent you last month" can start a long search through messages. A simple numbering system makes each quotation easy to find, reference and track.

Why numbering matters

• Clients can refer to one exact version.
• You can quickly locate a quote when someone calls.
• Your records look organised and professional.
• You can link an accepted quotation to the job and later invoice.

Simple formats that work

• Prefix and year: QT-2026-0001. It's easy to read, and it restarts cleanly every year.
• Year and month: QT-2026-11-014. This is useful if you send many each month.
• Client code: ACME-003. This helps when you serve a small group of repeat clients.

For most small businesses, the first format is enough.

Handling revisions

If a client asks for changes, avoid reusing the same number for a different price. Add a revision marker such as QT-2026-0001-R2, or issue a new number and mention the old one in the notes. Either way, everybody can tell which version is current.

Mistakes to avoid

• Starting at 1 with no padding. 0001 keeps your numbers in a tidy order.
• Reusing deleted numbers. This can create two documents with one number.
• Mixing quotation and invoice numbers. Keep separate series, since invoice numbering may have legal rules.
• Over-complicated codes. If you have to look up what it means, simplify it.
