Construction jobs combine big numbers, long timelines and unknowns hidden in the ground or behind walls. A careful quotation protects your margin and heads off most arguments.
Base it on a site visit
Measure on site whenever you can. Check access for trucks, storage space, water and power, and neighbours who might be affected. A drawing rarely tells you all of this.
Break it into stages
Rather than one figure, group the work in the order it happens:
- Site preparation and excavation
- Foundation and structure
- Masonry and roofing
- Electrical and plumbing rough-in
- Plastering, flooring and finishing
Showing quantities and rates, such as cubic metres of concrete or square metres of plaster, makes your price easier to check and easier to adjust.
Be clear about what's excluded
Common exclusions are permits and government fees, soil testing, drawings by an engineer, boundary walls, furniture and landscaping. Say who pays for each.
Make this quotation on your phone. Add your company once, then create and share a PDF, even without internet.

Plan for variations
Hidden problems are normal. Add wording such as: "Rock excavation, unforeseen ground conditions and client-requested changes are charged separately and agreed before work proceeds." Record every change in writing.
Payment stages
Tie payments to visible progress, for example: 20% mobilisation, 30% after foundation, 30% after structure, 20% on handover. Make sure you're never funding too much of the client's project yourself.
Handle material price risk
Long projects are exposed to rising prices. See how to quote when material costs change. Keep your validity period short, or name the materials subject to price changes.
For large contracts, use a formal agreement drafted by a professional. The quotation is a starting point, not a substitute.
Quotation Maker App Offline is free on Google Play. It stores your work on your phone and creates a clean A4 PDF you can share anywhere.
