Custom furniture can't be returned or easily resold, so a misunderstanding can be costly. The quotation should leave no doubt about what's being made, and a deposit should cover your materials.
Describe the piece precisely
For each item, include:
- Overall dimensions (height, width, depth)
- Main material and thickness, such as 18 mm plywood or solid wood type
- Finish: laminate, veneer, polish or paint
- Hardware: hinges, channels and locks, with grade or brand
- Number of shelves, drawers and internal sections
"Wardrobe, 7 ft" could mean almost anything. A specific description makes your quote easy to compare fairly.
Attach a sketch
Even a simple drawing with measurements avoids many disputes. Ask the client to approve it before cutting begins, and note that later changes may cost extra.
Price the full job
Include materials, wastage, cutting and assembly, finishing, transport and installation. Site visits and on-site adjustments take real time too. If walls aren't square, say that additional fitting work could be needed.
Make this quotation on your phone. Add your company once, then create and share a PDF, even without internet.

Take a meaningful deposit
Because custom pieces are made for one client, ask for a deposit that covers at least the materials. For example, 50% to start, and the balance before delivery or upon installation.
Clarify the site's responsibilities
State who removes old furniture, and whether painting or electrical points are included. Check doors, lifts and stairways, so a wardrobe doesn't arrive in one piece and fail to fit through the door.
Warranty and care
Note your warranty for workmanship and hardware, and mention that wood can move with humidity. A small care note shows expertise and prevents later complaints.
