Air-conditioning quotes often look similar until extra piping, wall cutting and electrical work appear on the final bill. Defining what's "standard" prevents exactly that argument.
Assess the space
Room size, ceiling height, sun exposure, occupants and equipment all affect the required capacity. Undersized units struggle and oversized ones can perform poorly. Note the assumptions behind your recommendation, and offer alternatives if the client wants a lower-cost unit.
Define standard installation
This is the key line on your quote:
"Standard installation includes up to 3 metres of copper piping, one wall core, mounting bracket and commissioning. Additional piping is charged at Rs X per metre."
Then list possible extras:
- Additional copper pipe, insulation and drainage
- Outdoor unit stands or access equipment
- Electrical wiring, a dedicated circuit and stabiliser
- Scaffolding or high-level work
- Removal of old units
Make this quotation on your phone. Add your company once, then create and share a PDF, even without internet.

Specify the equipment
State brand, model, capacity and efficiency rating, as well as who supplies the unit. Show the unit warranty from the manufacturer separately from your installation warranty.
Coordinate with others
On larger jobs, ceilings, drainage and electrical supplies depend on other contractors. List what the client's other trades must prepare before you begin.
Service contracts
Offer annual maintenance. Define visits per year, what's included (filter and coil cleaning, performance checks) and what isn't (gas top-ups, and replacement parts). Priority service for contract clients can be a useful selling point. A regular visit also generates repeat income in your slower season.
Handle refrigerants according to local regulations, and don't let price pressure encourage shortcuts on pressure tests or vacuuming.
